Area Office Manager - Crossville Service Area
Job Summary
The Area Office Manager is to supervise and direct office personnel in the day-to-day operations of the area offices and ensure that the functions of the office are performed in an accurate and efficient manner.
Job Description
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Supervise and delegate work assignments for the office personnel within the Service Area.
- Ensure that office personnel are trained and understand their duties.
- Assist in Office Supervisor and Customer Service Representative personnel’s performance reviews and make recommendations for goal setting, training needs and promotions.
- Make recommendations to Member Service Manager with regards to disciplinary matters of employees and discipline office personnel for minor infractions.
- Ensure that member inquiries, complaints and requests are processed and resolved on a timely basis.
- Ensure cash receipts are properly posted and deposited in the bank per Cash Receipts Office Procedures.
- Ability to prepare deposit refunds.
- Reviews daily cash reports.
- Prepare adjustments to electric and other miscellaneous invoices.
- Prepares various reports.
- Review inactive accounts.
- Maintains member contract and right-of-way easement files.
- Responsible for ensuring member account information is kept up-to-date and entered accurately.
- Respond and resolve consumer complaints.
- To act as a goodwill ambassador of the Cooperative.
- Assist in the marketing of VEC’s services and products.
- Participates in interviewing Office Supervisor and Customer Service Representative candidates.
- Communicate software problems and work with IT personnel in solving problems.
- Assist the Vice President of Cooperative and Member Services in developing annual budgets.
- Coordinate maintenance and repair of office equipment.
- Represents the cooperative at local community functions and events.
JOB QUALIFICATIONS
EDUCATION AND/OR EXPERIENCE
- Prior to Entry
- High School diploma or GED required.
- Associate degree in office management, business or accounting is preferred.
- Extensive job experience will be considered.
- Must possess public relations and leadership skills.
- After Six Months
- Working knowledge of all service policies and member related software programs utilized by VEC.
- Comply with the handling of cash receipts as specified in VEC’s Cash Receipts Office Procedures.
SKILLS AND ABILITIES
- Strong computer skills including proficiency in Microsoft Word, Excel, and Outlook.
- Effective oral and written communication skills.
- Must be able to read, write and do arithmetic with a high level of accuracy.
- Adhere to policies and procedural processes as directed.
- Exceptional employee interaction skills.
- Must believe in, be sympathetic with, and be interested in furthering the Cooperative’s objectives. Must understand the need for and be willing to work erratic hours and under pressure to meet various deadlines.
- Must be willing to accept changes brought about by new regulations.
- The highest degree of integrity, pleasant disposition, tact, and the ability to work with all levels of cooperative personnel are essential.
- Must be able to maintain confidential information.
- Demonstrate leadership that keeps morale up while enforcing productivity.
- Able to work occasional overtime and flex schedule to include working before and after normal business hours to meet various deadlines.
- Ability to work in a team environment.
- Strong Organizational skills with exceptional follow-through and attention to detail.
- Regular on time attendance is required.
- Exhibit and promote the Seven Cooperative Principles.
- Other duties as assigned.
WORK ENVIRONMENT

- Visual acuity and manual dexterity to enter data into the computer terminal/microcomputer and to verify data entry.

- Frequently sits, stands, and walks to enter data and to verify data to be entered.
- Frequently bends, stoops, squats, and lifts to retrieve supplies, files, etc.
- Require visual acuity in machine operation.
- Require the physical ability in reaching, standing, walking, lifting, and the ability to lift small items with fingers, grasping, talking, hearing, and performing non-continuous repetitive operations.
- General office environment requiring sitting, standing, and walking.
- Occasionally lift/carry up to 25 lbs.
- Requires repetitive motions with hands and fingers such as keyboarding.
- Minimal exposure to dust, dirt, and chemicals.
- The noise level is low to moderate.
